We are currently seeking a Bilingual Office Manager/Recreation Coordinator to join our residential team. The Bilingual Office Manager/Recreation Coordinator is primarily responsible for coordinating all office needs for special youth programs, and grant-funded programs. Other duties include but are not limited to:
- Accurately type reports, letters, memos, and other documents as needed. Oversee all in-coming and out-going mail, ensuring it is distributed and sent in a timely manner.
- Assist nurse in tracking and receiving medical billings.
- Be responsible for ensuring that all payroll data is collected, calculated, and submitted to mission office as required.
- Be responsible for all personnel related issues (insurance, confidential memo’s, change of status forms).
- Handle all on ground Worker’s Compensation claims ensuring accurate documentation has been filled out and proper procedures followed.
- Ensuring a safe home for Unaccompanied Children (UC’s).
- Initiate incident reports concerning behavioral problems, injuries, or accidents; provide complete and accurate documentation including dorm logs and other reports as assigned.
- Adhere to Case Plan for assigned UC with direction from Caseworkers and/or supervisors.
- Prepare monthly recreation schedule in coordination with the Program Director.
- Monitor and attend recreational events to ensure they are running on time, well-supervised and complying with Trinity guidelines.
- This includes officiating, training, issuing, and maintaining supplies, and giving a written report to the Program Director on a regular basis.
- Be responsible for the recreation budget, reconciliation, and related documents.
- Prepare and submit to the Program Director a monthly activity schedule and minutes from monthly resident council meetings.
- Supervise the behavior of the children on all off-ground field trips.
- Inform and instruct the youth before departure.
- Ensure that they are following agency dress code guidelines, and the requirements for that outing.
- Attend meetings and trainings as assigned.
- Drive a vehicle when necessary.
Skills/Requirements:
- A High school diploma or GED required.
- A minimum of one-year clerical experience.
- Experience working in a facility/program similar to Trinity or one involved with the counseling, education, or recreation of youth is preferred.
- Writing, verbal skills, and the ability to compose quality reports and other necessary correspondence are essential.
- Must be proficient in the use of computers, including Email, Microsoft Word and Excel and be able to accurately type 40 words per minute.
- Detail oriented and demonstrated ability to multi-task and set priorities.
- Must be able to communicate effectively with all publics and have strong written and verbal communication skills.
- Experience working in a facility/program similar to Trinity or one with the counseling, education, or recreation of youth is preferred.
- Must have a special interest in working with youth and must fulfill the general requirements as established in the California Administrative Code, Title 22.
- Be able to communicate clearly and concisely, both orally and in writing in English.
- Must be 21 years of age or older and able to pass a physical examination; drug clearance; criminal background check and Child Abuse Index check.
- Must be fluent in at least Spanish, verbal and written.
- Must possess a valid California driver’s license with clean DMV history and the ability to safely operate a motor vehicle and be insurable by Trinity’s insurance carrier.
Pay rate: $17.88 per hour.
